Audio/Video Production Services


Policies & Procedures
  • Requests can only be originated and signed by SMC personnel.
  • All requests are on a "first come-first served" basis.
  • Media Services maintains strict compliance with all U.S. Copyright Laws regarding duplication of copyright material.
  • Faculty/staff requester must obtain verbal and/or written clearance in advance of guest videotaping requests.
  • Fair Use Guidelines and 45 day recall procedures followed on all off-air taping requests.
  • Satellite downlink requests are scheduled by first contacting the Media Services Coordinator levine_stephen@smc.edu.
  • License fees are often required for satellite downlinks. The Media Center will administer requests after the requester processes all license fees, registration and secures permission for Santa Monica College to tape and/or provide a teleconference link.

Audio/Visual Equipment


Policies & Procedures
  • Requests can only be originated and signed by SMC personnel.
  • All requests are on a "first come-first served" basis.
  • Reservations, same day or advance, are required for all Media Center equipment.
  • Check-out periods are normally based on class time period.
  • Advance reservations, up to 1 semester, are allowable.
  • Media personnel will attempt to locate substitute equipment when scheduling conflicts arise or machinery malfunctions.
  • Students can pickup A/V equipment, from the Media Center, only if a reservation form is filled out, signed and approved by a faculty/staff person.
  • Satellite room keys will only be distributed to SMC personnel.
  • Training on A/V equipment available upon request and staff availability.
  • Emergency support for equipment failure contingent upon staff availability.

Cable Television


Policies & Procedures
  • SMC TV is not a Public Access Program Channel.
  • Requests for scheduled programming of college events, via the college cable channel, should be directed to Bruce Smith (public information officer) at smith_bruce@smc.edu. Technical support requests should be forwarded to Steve Levine (Media Services Coordinator) at levine_stephen@smc.edu.
  • Insertion requests are reviewed for appropriateness and applicability to Santa Monica Community College District (SMCCD) program needs.
  • Management reserves the right to deny any request for program insertion or schedule changes.
  • Specialized program requests should be forwarded to Al DeSalles (media and reprographics services manager) at desalles_albert@smc.edu.
  • Faculty/staff requests for the use of SMC TV for specific instructional applications will be forwarded to the Office of Academic Affairs.
  • SMC TV reserves the right to preempt any regular scheduled program to deliver content deemed relevant or useful to the needs of the District.
  • In the event of a natural disaster, SMC TV Ch.28 will be operated as an Emergency Cablecast System for community information on SMC shelter and rescue efforts.

Electronic Repair


Policies & Procedures
  • Electronic repair service requests must originate from SMC personnel.
  • Repairs are only authorized for equipment belonging to the Santa Monica Community College District (SMCCD).
  • Instructional equipment is given first priority for repairs.
  • Requesters will be notified, in writing, if equipment cannot be repaired in-house.
  • Equipment that cannot be repaired, based on cost in comparison to age and usefulness, will be designated as salvage and the requester notified in writing.
  • Repairs are done on a "first come-first served" basis.
  • Area supervisor must approve any off-campus repair work for audio/visual equipment.

Films/Slides/Videos


Policies & Procedures
  • Requests can only be originated and signed by SMC personnel.
  • All requests are on a "first come-first served" basis.
  • Reservations, same day or advance, can be made for in-house films and videos.
  • Duplication requests for films, slides and videos must be submitted on an official form.
  • Observance of copyright protection is strictly enforced. We reserve the right to refuse any requests that may involve copyright violations.
  • Copyright clearance for duplication requests must come in the form of a letter from the copyright owner, producer or distributor of the work.
  • All films, slides and videos need to be returned to the Media Center on the date written on the request form.
  • Media personnel will attempt to contact faculty and staff users, at their office and/or home, if the media resources are not returned as scheduled.
  • Instructional departments may be charged for any related late charges on rental films and videos.
  • All Art History slides are labeled according to artist name, subject and/or period of their work.
  • Following the selection of slides, faculty/staff should immediately contact a staff member or student helper for procedures on check-out.

Multimedia Presentation Services


Policies & Procedures
  • Requests must originate from SMC personnel.
  • Initial consultations typically require 30 minutes to 1 hour and are requested to be scheduled in advance of any production work.
  • The SMC Media Center will strictly follow all of the Educational Fair Use Guidelines for Multimedia prepared by the Consortium of College and University Media Centers (CCUMC). We reserve the right to refuse any requests that may involve copyright violation(s).
  • All instructional multimedia presentations, developed by the Media Services personnel will be stored on external disks, and housed in the digital archival storage area.
  • Faculty/staff requesting copies of multimedia presentations produced for their classes must provide storage devices suited for the purpose of digital duplication.
  • Training on multimedia carts is available upon request and staff availability.

Reprographic Services


Policies & Procedures
  • Reprographic services are only available to SMC personnel.
  • Service schedules may change as a result of campus holidays, semester transitions, faculty flex days, staff development days, etc.
  • Digital StoreFront (DSF) Submissions are processed on a "first come-first served" basis.
  • The Walkup Copiers, in the front lobby, are specifically designed for very short copy runs. Faculty/staff are requested to limit self-serve copying to one (1) copy per original. Multiple copies should be forwarded to the Reprographics staff.
  • Test security is a top priority. The following policies and procedures apply to all test materials:
    • Exams must be clearly marked on the DSF job tickets and paper request forms.
    • Test materials cannot be submitted or picked up by student assistants.
    • Exams are processed by SMC staff and secured in a Test Cabinet.
    • Student assistants are not allowed access to the Test Drop Box or the Test Cabinet.
    • Students evidenced stealing test materials will be immediately dismissed and a detailed report filed with the College Disciplinarian and SMCPD.
  • Copy limits for instructional handouts are not to exceed 10 copies per student, per semester. Syllabi and exams are exempt from material quotas.
  • SMC has a Copyright Policy which was articulated by the Information Services Joint Committee and approved by the Academic Senate in 1991. The Reprographics Department reserves the right to refuse any copy request that may involve any violation(s) of copyright law. Faculty/staff reproducing copyright material on their own using the self-serve machines are subject to Federal Copyright Regulations. Instructors needing to use copyright material, as part of their student handouts, are encouraged to incorporate these documents into their "custom coursepacks." The SMC Bookstore Manager dever_david@smc.edu will assist all faculty with copyright declaration and clearances. Materials with copyright can also be placed "on reserve" in the campus library for a limited period of time.
  • All instructional handouts and syllabi are run on white paper stock.
  • Pastel colored paper can be used for departmental mailers, handouts and bulletins. Exam requests can specify the 1st  page to be in a pastel color.
