Mailbox limits (aka quotas)...
FACULTY/STAFF:
Q. How come the system says I can't send e-mail?
A. You are prohibited from sending e-mail as long as you exceed your user
diskspace quota of about 600MB. Look for any especially large messages or attachments you
may have received recently that you can delete to reduce your diskspace consumption.
Q. I deleted a bunch of messages and it still says I can't send e-mail. Why not?
A. You must delete (yes, re-delete) items from your Deleted Items folder in
order to purge them completely from the system.
Q. Can my diskspace quota be raised (so I can store more e-mail messages)?
A. Not normally. You are encouraged to off-load messages to Personal Folders
which are stored on your local workstation. Security is usually not a concern for Personal
Folders because they are profile-based and can be password-protected if desired.
Q. How can I see how much diskspace my Outlook folders are consuming?
A. Select a folder, choose the Folder>Properties for.. item from the File
menu, click on the "Folder Size..." button, and read the Total Size figure in
kilobytes. The current quota per user for all folders is 750 megabytes.
Q. How can I see off-campus how much diskspace my e-mail folders are consuming?
A. Simply visit
https://faculty.smc.edu/extras/MailboxSize.asp (authentication required).
Q. I'm trying to reduce my diskspace usage, so why can't I delete items in the Public
Folders?
A. Only the owner of the items in a Public Folder can delete them. If you
aren't the owner, then the diskspace use by these items -- even though you can view them
-- is not being charged against your personal diskspace quota. To avoid
"clutter" when viewing public folder, select another view (from the View menu)
or customize your current view to filter out postings that are more than a certain age.
STUDENT:
Q. How come I can't send and/or receive e-mail?
A. You are prohibited from sending and receiving e-mail as long as you exceed your user
diskspace quota of 3MB. Look for any especially large messages or attachments you
may have received recently that you can delete to reduce your diskspace consumption.
Q. I deleted a bunch of messages and it still says I can't send or receive e-mail. Why not?
A. You may need to re-delete messages from your Deleted folder in
order to purge them completely from the system. You can select individual
items to re-delete or use the "Delete All" link to purge the entire
folder of its contents. To avoid having to re-delete items, you can Edit
your Preferences (under the Personal Account Options... drop-down list box) and
change the Delete Messages option to "Purge message" -- you can even
de-select the Confirm Delete Message checkbox to not prompt you when you delete
a message. Please be aware that purged messages cannot be recovered.
