What You Should Do How You Should Do It
1. Contact Procurement and Contracts before you complete your requisition Email or phone Procurement
2. Prepare the Forms

3. Obtain required signatures

Submit your Purchase Requisition and Scope of Work for Approval:

  • Department Manager
  • Vice President
4. Submit your approved Purchase Requisition to Business Services  
What Procurement & Contracts Will Do Actions Taken
1. Review scope of work Scope of work will be reviewed for, completeness and compliance with all District policies.
2. Solicit Quotations If applicable (reference transaction levels)
3. Develop Contract Develop a contract document
4. Obtain all required forms
  • Verify that contractor has not been debarred or suspended
  • Business License
  • Vendor Tax Forms
  • Conflict of Interest Affidavit
  • Notice of Exclusion from Cal-Pers (Sole Proprietor Only)
  • Insurance Certificates (if required)
5. Obtain Board approval
  • Submit item agenda for Board of Trustee Ratification or Consent.
6. Final Signed Agreement
  • Circulate Contract Document
  • A copy of the signed agreement and Purchase Order Encumbrance Document will be sent to the requesting department following the execution
7. Changes to Contract
  • Changes to existing contracts are made by contract amendment
  • Requisitions must be submitted if there is an increase in cost.
  • Changes to existing contracts must be submitted to the Board of Trustees for Ratification or Consent.
