Administration Support Processes

 
Stellic Care is SMC's Early Alert system to support student success and retention in the classroom and beyond. Faculty members can use these retention tools to alert students and support services to our students needs:
  • Kudos are a great motivational tool that can provide a student with positive reinforcement and encouragement. 

  • Notes can be used to facilitate a conversation between the student and the instructor. These can be used to let students know how they are doing in their classes.

  • Referrals alert a service area when a student needs more support. These can be informational in nature, such as with Tutoring or Library Referrals. They can also be more proactive in nature, such as with Counseling Referrals , which generate phone calls from counselors to ensure students' needs are met and that they are connected with the support to help them succeed.

Please Note: Administrative Support will only have access to view items that need to be assigned to a Counselor.  These items include Referrals, such as "Academic Counseling Referral" and "Career Counseling Referral", as well as students creating a request with "I Need" statements. This is to preserve student privacy while also helping connect students with additional support when needed.

How to Access Stellic Care

Administrative Support can log in by going to stellic.smc.edu. You will enter your SMC username and password to login. This is the same username and password you use to access your SMC email.

Set Up Profile

  1. To update your information, click on the circle with your initials in the top-right corner, and then click on "Settings".
  2. Add a photo. This does not have to be a photo of you. You can upload a picture of your pet, some art, a landscape... anything you feel best represents you!

Progress Reviews

Progress Reviews (formerly called Progress Surveys) generally will be administered to faculty two times per semester and one time during summer/winter terms. These progress reviews enable instructors to provide feedback to students during key points in the term. During this time,  you will see more items raised and needing to be assigned. Please check with your program about how they would like to manage this process. 

Resolving Notes or Referrals

Stellic Care makes it easy for the user to document a solution and resolve the note or referral. Resolving items may happen when the student discusses the matter with the person who raised the item or with a student service area, and the student now has a plan to get back on track.

Once the issue is resolved, an Instructor or Counselor will "Resolve" the item to document that the issue has been addressed.

Referrals

Referrals are designed to alert a service area when a student needs additional support. These items are raised by the instructor and closed by the service area. Administrative support will assign these items to a counselor. Counselors will then contact the student and resolve the item. Check with your Program regarding your Department's Stellic Care process.
