Why Use Stellic Care?

Stellic Care is SMC's new Early Alert system to support student success and retention in the classroom. 

Instructors can use this retention tool with these key support and retention actions:

  • Kudos provide a student with positive reinforcement and encouragement. Kudos stay active on a student's profile for the remainder of the academic year. 

  • Notes are raised and closed by the instructor. Notes facilitate conversations between the student and the instructor. You can use one of our pre-existing note templates to let students know you would like to discuss a particular concern with them. Alternatively, you can create your own notes and save them as a "personal" template for future use.

  • Referrals alert a service area when a student needs more support. These items are raised by the instructor and closed by either the service area or the instructor. Referrals can be proactive in nature (such as Counseling referrals, which initiate contact from an academic or career counselor). They can also be informational in nature (such as with basic needs, tutoring, or library referrals), which send students an automated message with more information on how to access a specific resource. It is then up to the students to follow up.

How to Access Stellic Care

Faculty will use our SMC username and password to login to Stellic Care. You can find the login several ways, On the SMC.edu website under Login or on the Faculty/Staff page under Logins, or below.  

Login to SMC GPS

Set Up Profile

  1. To update your information, click on the circle with your initials in the top-right corner, and then click on "Settings".
  2. Add a photo. This can be a picture of yourself, your pet, a landscape... anything that best represents you! Note: Students and other faculty can see your photo.

Set Up Office Hours

Faculty have the ability to schedule their office hours with students using the Stellic Time Block feature. Your office hours will show in the student's appointment options.

Create Notes and Referrals

  • Notes can be used to initiate conversations with students.
  • Referrals can proactively require third-party intervention and help connect students with support, such as speaking with Academic Counselor or a Career Counselor,. However, some referrals, such as tutoring, basic needs, and library referrals, are informational in nature and do not require third-party intervention. Instead, a student will receive an automated email with more information about how to follow up with the designated resource. When you create a referral, please read the description to determine whether the referral will be proactive or informational.

Respond to Progress Reviews

  • Progress Reviews enable instructors to provide feedback for students at once during key points in the term.
  • Each review is a collection of tracking items (Kudos, Notes, and Referrals) that instructors can select and comment on for students in each of their course sections.
  • Instructors are notified by email when surveys are launched.

Resolving Notes and Referrals

Instructor Notes are raised and closed by the instructor in a given course. These items are designed to facilitate conversation between the student and the instructor. Students will be notified to go follow up with their instructor. Once the student speaks with you, you can resolve the note.

Referrals are designed to provide students with information on how to connect with a particular resource and/or alert a service area when a student needs additional support. These items are raised by the instructor and are closed by a service area, like Counseling. Students will be notified that they need to speak with Counseling or Tutoring.

Getting Started with Stellic Care

Due Date:

As you know, at SMC, we will use an exciting new platform called Stellic. The purpose of Stellic is for degree management, helping you visualize your academic journey, stay on track, and graduate on time. You can also use it to connect you with your professors, counselors, and other resources to support you in reaching your goals. Your success in class matters to me and my colleagues at SMC, so let's start building your success! Think of this assignment as the first step in that process. 

Assignment Objective: To help you get to know Stellic 

Here are the steps to completing this assignment: 

  1. Log in to Stellic using your regular SMC username and password (this is not your SMC ID #) 
  2. Update your Stellic profile 
    1. Click on the circle with your initials on the top-right corner (this may appear as a picture instead of your initials if you previously changed your picture). This will open the “Profile Settings Menu” 
    2. On the Profile Settings Menu, click on “Settings” 
    3. Click on “Change” to change your profile picture 
    4. Upload a picture. This does not have to be a photo of you. You can upload a picture of yourself, your pet, an emoji, a scenic view… anything that you want to represent YOU
  3. Click on “Track Your Progress” in the menu on the left-hand side to request credit 
  4. Finally, scroll down the main Stellic screen and click on the tab that says “Requests” to request credit for this assignment 
  5. Once you are in “Requests”, you will see “New Request” 
  6. Click on “I Logged into Stellic!” and follow the prompts. 

Once you have submitted the request, you are done! 

By completing this assignment, you will earn [5 points].
