Administration Support Processes

SMC Gateway to Persistence and Success (GPS) is SMC's new Early Alert system to support student success and retention in the classroom. Instructors will use these retention tools to alert student and support services to our students needs:
  • Kudos provide a student with positive reinforcement and encouragement a student. Kudos stay active on a student's profile for the remainder of the academic year.

  • Flags are both raised and closed by the instructor. These tracking items facilitate conversation between the student and the instructor. This lets students know instructors would like to see them.

  • Referrals Flags alert a service area when a student needs more support. These items are raised by the instructor and closed by either the service area or the instructor. Instructors and counselors would reach out to students with flags. It is up to the student to reach out to tutoring services.

Please Note: Administrative Support will only have access to view items that need to be assigned to a Counselor.  These items include Referrals such as, "In Danger or Failing", "Excessive Absents Concern", and "Academic Counseling Referral" and Student's "Raising Their Hands" with "I Need" statements. You will not have access to see Faculty raised Flags or Kudos.

Progress Surveys

Progress Surveys will be administered to faculty two times a semester and one time during summer/winter terms. These progress surveys enable instructors to provide feedback for students during key points in the term. During this time,  you will see more items raised and needing to be assigned. Please check with your program in how they would like to manage this process.

Clear Flags or Referrals

SMC GPS makes it easy for the user to document a solution, clear the flag, and communicate the resolution to the instructor with one easy step using the close the loop feature. Clearing a flag may happen when the student discusses the matter with flag raiser or referral contact and has a plan to get back on track.

Once the issue is resolved an Instructor or Counselor will "Clear this Item" to ensure that everyone involved knows that the issue has been taken care of.

Close the Loop

Referrals Flags are designed to alert a service area when a student needs additional support. These items are raised by the instructor and closed by the service area. Administrative support will assign these items to designated Counselors. Counselors will then contact the student and clear the item. Check with your Program regarding your Departments GPS process.
